Our Methodology

How every Folio Bureau engagement is structured

Before any session begins, the coordinator and the household agree in writing on the exact scope of the engagement. No work falls outside that scope without a separate conversation. Every engagement produces a documented deliverable — something the household holds and owns on completion.

Open questions — matters that sit within professional regulated territory — are listed rather than answered. The coordinator notes them clearly in the deliverable and suggests they be taken to a suitably qualified professional. This is not a limitation; it is part of the methodology.

Sessions are scheduled at intervals suited to the household. We do not rush and we do not push for a larger engagement than is appropriate. The one-sheet map is the starting point for most households; larger engagements follow if the household decides they are worthwhile.

Service 01

One-Sheet Document Map

A compact appointment that produces a single page showing every retirement-related document a household holds and where it physically sits. The coordinator interviews you, walks the folders with you, and draws the map: category, location, format, last updated. Nothing is interpreted, nothing is filed with anyone, and no institution is contacted. The deliverable is a map of what exists.

How the session proceeds

Records Keeping Workshop Series

RM 1,880  ·  3 workshops over 6 weeks  ·  Up to 6 participants

Three half-day workshops for individuals and couples who want a durable record-keeping habit rather than a one-off tidy-up. Workshop one builds the filing structure and the naming convention. Workshop two covers scanning, storage on your own devices, and how to keep a digital set that is still readable in a decade. Workshop three practises writing correspondence logs and a one-page family orientation note, and reviews publicly published material about Malaysian retirement schemes as general background reading only.

Service 03

Archive, Index & Handover

The bureau's longest engagement, for households where paperwork has accumulated across many years and several family members and nobody is quite sure what is there. A coordinator inventories every container, separates active from archive, scans and indexes the digital set, labels and rebuilds the physical set, writes a handover document readable by someone who has never seen the papers before, and runs a family walkthrough so the knowledge does not sit with one person alone. Purely administrative: sorting, scanning, indexing, labelling, writing.

Our Standards

Protocols that apply across all engagements

Confidentiality

No documents shared externally. No copies retained by the bureau after engagement completion. All working files deleted from coordinator devices at handover.

Written scope agreement

Scope is agreed and signed before any session. Changes require a separate written discussion. No scope creep during an engagement.

Out-of-scope referral

Questions requiring professional judgement are listed as open items in the deliverable and referred to a suitably qualified professional — not answered informally.

Plain-language standard

All deliverables are reviewed against a readability checklist before handover. Administrative jargon is removed wherever plain words serve better.

Review calendar standard

Archive engagements include a suggested 12-month review schedule as a standard deliverable item, not an optional extra.

Coordinator certification

All senior coordinators hold a recognised records management qualification and maintain it through continuing professional development.
